The Systems and Data Manager will ensure business information is accurate, organized, secure, and accessible; software is properly maintained; and teams follow clear, practical processes.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This hands-on role combines business systems administration, data management, process improvement, and documentation.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Key Responsibilities<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>1. Business Data and Reporting<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Establish consistent standards for collecting, naming, storing, updating, and sharing business data.<\/li>\n\n\n\n<li>Organize and maintain master records, including products, materials, suppliers, customers, and inventory locations.<\/li>\n\n\n\n<li>Identify and resolve duplicate records, missing information, and inconsistencies across systems.<\/li>\n\n\n\n<li>Develop dashboards and reports that give managers reliable visibility into performance, exceptions, and outstanding actions.<\/li>\n\n\n\n<li>Assign clear data ownership and work with departments to maintain accuracy.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>2. Systems Administration and Support<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Administer SharePoint, company email, shared drives, databases, and business software, including user accounts, permissions, and configurations.<\/li>\n\n\n\n<li>Maintain a register of software, subscriptions, licenses, renewals, system owners, and support providers.<\/li>\n\n\n\n<li>Plan and coordinate software updates, configuration changes, and integrations, and test them before wider rollout.<\/li>\n\n\n\n<li>Troubleshoot system issues and coordinate with external IT providers or software vendors when specialist support is required.<\/li>\n\n\n\n<li>Manage employee system access during onboarding, role changes, and offboarding.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>3. Workflow and Process Improvement<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Map workflows across departments and identify unnecessary steps, duplicate entry, manual work, and delays.<\/li>\n\n\n\n<li>Simplify processes and establish clear responsibilities, approval steps, and departmental handovers.<\/li>\n\n\n\n<li>Implement practical automations and integrations that improve efficiency and reduce errors.<\/li>\n\n\n\n<li>Gather user requirements, assess suitable tools, and coordinate implementation and adoption.<\/li>\n\n\n\n<li>Monitor whether process changes deliver the intended improvements.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>4. SOPs and Knowledge Management<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Write and maintain clear SOPs, work instructions, forms, templates, and process maps with departmental owners.<\/li>\n\n\n\n<li>Build an organized SharePoint knowledge center with consistent folder structures, document ownership, version control, and review dates.<\/li>\n\n\n\n<li>Train employees on systems, data standards, and approved workflows.<\/li>\n\n\n\n<li>Review how teams use systems and address gaps in understanding or compliance.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>5. Information Security and Continuity<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Maintain appropriate access controls, secure sharing practices, and data retention arrangements.<\/li>\n\n\n\n<li>Coordinate backups and periodically verify that critical information can be restored.<\/li>\n\n\n\n<li>Document system configurations, dependencies, and recovery procedures.<\/li>\n\n\n\n<li>Track system incidents and implement measures to prevent recurring problems.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Qualifications and Experience<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Degree in Information Systems, Computer Science, Business Analytics, Operations Management, or a related field, or equivalent practical experience.<\/li>\n\n\n\n<li>At least four years of relevant experience in business systems, data management, systems administration, or process improvement.<\/li>\n\n\n\n<li>Practical experience administering Microsoft 365, SharePoint, and business applications.<\/li>\n\n\n\n<li>Strong Excel skills and experience with databases, reporting tools, and workflow automation.<\/li>\n\n\n\n<li>Ability to write clear SOPs and translate business needs into workable system requirements.<\/li>\n\n\n\n<li>Experience with inventory, manufacturing, retail, e-commerce, or accounting systems is an advantage.<\/li>\n\n\n\n<li>Familiarity with Shopify, Unleashed, QuickBooks, Power BI, and Power Automate is desirable.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Key Competencies<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Analytical thinking, attention to detail, practical problem-solving, clear communication, project coordination, confidentiality, and the ability to train and support users across different functions.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Performance Measures<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Improved data accuracy and fewer duplicate or incomplete records.<\/li>\n\n\n\n<li>Reduced manual entry, processing time, and workflow duplication.<\/li>\n\n\n\n<li>Reliable systems and timely resolution of recurring issues.<\/li>\n\n\n\n<li>Current SOPs with clear ownership and consistent use.<\/li>\n\n\n\n<li>Timely, accurate management reports.<\/li>\n\n\n\n<li>Effective access controls, verified backups, and timely software maintenance.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>","protected":false},"featured_media":3123,"template":"","recruiter-features":[],"job-types":[11],"tjig-job-categories":[5,77],"class_list":["post-3122","tjig-jobs","type-tjig-jobs","status-publish","has-post-thumbnail","hentry","job-types-full-time","tjig-job-categories-data-analysts","tjig-job-categories-system-engineers"],"yoast_head":"<!-- This site is optimized with the Yoast SEO Premium plugin v27.9 (Yoast SEO v27.9) - https:\/\/yoast.com\/product\/yoast-seo-premium-wordpress\/ -->\n<title>Systems and Data Manager | Tech Jobs In Ghana<\/title>\n<meta name=\"description\" content=\"About the job Role Purpose Build and maintain the systems, data structures, and workflows that help NAYA operate efficiently and grow.
